Executive Assistant to CEO

  • Location: Palma de Mallorca (Onsite)

  • Salary: £30,000 to £45,000 p.a. depending on experience

> The role as Executive Assistant is wide and varied and your responsibilities will evolve from the activities outlined below.

Key Responsibilities:

EA duties will include, but are not limited to:

●  Manage CEO’s inbox - Acting as first point of contact and dealing with correspondence

●  Deal with CEO Admin

●  Project Manage tasks on ad-hoc basis

●  Be comfortable leading / delegating & resourcing tasks

●  Extensive and complex diary management and organising meetings for the CEO

●  Taking calls on behalf of and managing for the CEO

●  Building up prospective investor lists and managing all investor communications

●  Organising video / audio / podcasts , suppliers for filming days

●  Organising and managing community events (with invited guest speakers)

●  Organising and managing CEO's time as Guest Speaker at relevant events

●  Organising and managing CEO's time as Guest in various shows/podcasts

●  Organising and managing CEO's newspaper interviews etc

●  Researching and conducting data to prepare documents for review

●  Arranging & facilitating internal & external meetings

●  Dealing with expense claims

●  Discovering new opportunities to increase CEO's engagement with potential customers

●  Building up prospective investor lists and managing all investor communications

●  Managing social media profiles on behalf of CEO

●  Translating documents / invoices / outside communications with suppliers between

English and Spanish

●  Attending all board meetings and taking minutes for distribution to the Board of


●  Undertaking ad hoc errands

●  Reporting to our investor base quarterly updates on the state of the business

●  Booking and arranging complex travel arrangements, accommodation and travel

documents where necessary

●  Supporting any personal duties, also including restaurant bookings, event planning etc.

Person Specification:

●  Minimum 3 years experience in a similar role

●  Experience in an organisational role where effective multitasking is key

●  Very Strong IT skills, including the use of the Google Docs/Slack/Asana/Calendly/Typeform/CRM (Keap) Social media platforms, apps on your phone for editing video and images

●  Extensive calendar management

●  Experience with Social Media, Digital Marketing essential

●  Excellent communication skills, both written, verbal and fast typing / dictation.

●  Excellent organisational skills, with the ability to prioritise a busy workload effectively,

ensuring all tasks are completed on time in a fast paced environment

●  Ability to talk confidently with founders and high-profile individuals.

●  Track record of self-driven side projects.

●  The ability to be proactive and use their own initiative

●  Experience in sales or events

●  Very High quality/Fluent English - written and spoken

●  Spanish speaking helpful

●  Ability to work from the office in Palma
